This policy explains what personal data we collect when you use CheckHPI, how we use it, who we share it with and the rights you have. We keep things simple: we only collect what we need to run our service.
Who we are
CheckHPI (checkhpi.uk) is operated by Hill Davenport Limited, a company registered in England and Wales with company number 11854403, whose registered office is Unit 19 Millmead Business Centre, Millmead Road, London, N17 9QU, United Kingdom.
Hill Davenport Limited is the data controller for the personal data described in this policy. You can contact us about privacy at [email protected], on 0333 344 8266, or by post at our registered office.
The data we collect
- Vehicle information: the registration numbers you search and the reports we produce. A registration number can be personal data when it is linked to an identifiable person.
- Contact details: your email address, so we can send your report and receipt, and any name or phone number you give us when you contact us.
- Order details: what you bought, when, and the amount paid. Card payments are handled by our payment provider, and we don’t see or store your full card details.
- Communications: messages you send us, such as support requests and complaints.
- Technical data: your IP address, browser type and the pages you visit, recorded in server logs for security and to keep the website working.
We don’t ask you to create an account, and we don’t knowingly collect data from children under 16.

You can withdraw consent to marketing at any time using the unsubscribe link in any email or by contacting us.
Who we share data with
We never sell your personal data. We share it only where needed to run our service:
- Vehicle data providers: we send the registration number you search to our data suppliers to retrieve vehicle records. We don’t send them your name or email address.
- Payment provider: to process your payment securely.
- Service providers: such as our website hosting and email delivery providers, who process data on our behalf under contract.
- Professional advisers: such as accountants, lawyers and insurers, where necessary.
- Authorities: where we are required to by law, or to prevent or detect crime.
International transfers
Some of our service providers may process data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum approved by the Information Commissioner.
How long we keep data
- Orders and payment records: six years from the end of the financial year, to meet tax and accounting requirements.
- Reports and searches: up to six years, so we can resend reports and handle Data Guarantee claims.
- Support messages and complaints: up to two years after the matter is closed.
- Server logs: usually no more than 90 days.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal data we hold about you
- ask us to correct inaccurate data
- ask us to delete your data, where we no longer need it
- ask us to restrict how we use your data
- object to our use of your data based on legitimate interests
- ask for your data in a portable format
- withdraw consent where we rely on it

Security
We use appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS) and restricted access to our systems.
